How to automate sales follow-ups
A practical follow-up system for SMB teams: cadence, pipeline stages, and how KASHDI schedules the next email.
Most lost deals are not “no.” They are silence after the first email. A small team can automate follow-ups without pretending a robot will close every conversation.
-
Put every contact in a pipeline, not a spreadsheet tab
Give each person a status you actually use: Prospect, Contacted, Engaged, Replied, Lead, Won, Lost. If the next step is not visible, follow-up will slip. KASHDI CRM uses those columns and keeps first-email and follow-up jobs on the Today board.
-
Decide a humane cadence
A useful default for email: wait three to four days between outbound messages to the same person, unless they replied. KASHDI CRM checks that gap before it treats another send as due. Sales Tracker separately flags deals that have gone quiet.
-
Use stages, not one giant sequence
Campaigns in KASHDI are built as intro, follow-up 1, follow-up 2, and closure. That is enough for most SMB offers. Review/approval can hold a send if you need a human to check tone before it goes out.
-
Work from a daily list
Automation fails when the queue is invisible. Today lists waiting first mails, inbound contacts, and follow-ups, then highlights a next job. Complete it, then leave. That is the opposite of an inbox that never ends.
-
What not to automate
Do not auto-send if you do not have a real offer, a real from-address, or permission context. KASHDI will not invent replies for you. It will queue the work and send when you (or an approved sequence) say so.
